Refund & Exchange Policy

1. Scope of This Policy

Payments made through the Eventex platform fall into two distinct categories of service, each with a different refund policy as described below.

2. Conference Participation Fees (Managed by the Organizing Institution)

When you pay a registration or participation fee for a conference through the Platform, that conference is organized by an independent institution or society, which alone determines its refund, cancellation, or postponement terms. Eventex only provides the technical infrastructure for processing the payment and does not control the decision to accept or reject a refund request for this type of fee.

To request a refund for a conference participation fee, please contact the organizing institution directly using the contact details published on the conference's page.

3. Eventex's Direct Services (Payment Links)

For services sold directly by Eventex (such as paper-publishing assistance fees via Payment Links), you may request a full refund within 7 days of payment, provided the requested work has not yet started and has not been partially or fully delivered.

Once service delivery has started, or after 7 days from payment, the amount is not refundable except at Eventex's discretion in exceptional cases (such as a technical error on our part resulting in a duplicate charge).

Payment processing fees deducted by the payment service provider, if any, are not refunded upon a refund transaction, per the provider's own policies.

4. How to Request a Refund

For Eventex's direct services, send your request to support@eventex.sa, citing the transaction number or payment link used. Requests are reviewed within 5 business days, and approved refunds are returned to the original payment method within up to 14 business days of approval, subject to the timeframe set by the payment service provider.

5. Exchanges

A traditional "exchange" (swapping a physical good) does not apply to Eventex's services, as these are digital services rather than physical goods. Any request to modify the scope of a paid service is reviewed as a separate additional request.

6. Changes to This Policy

We may update this policy from time to time; material changes will be published here with an updated "last modified" date above.
