Terms & Conditions

Eventex ("the Platform", "we") is a Saudi-based SaaS platform (eventex.sa) that helps academic and professional societies manage their scientific conferences: registration, abstract submission and review, scheduling, certificates, and related payments.

By using the Platform in any capacity — as a subscribing institution, conference organizer, reviewer, author, or registered attendee — you agree to these Terms & Conditions. If you use the Platform on behalf of an institution, you confirm you are authorized to bind it to these terms.

Eventex provides only the technical infrastructure for conference management. The hosting institution or society is solely responsible for its conference's content, scientific program, review decisions, and any obligations toward registrants, speakers, or sponsors.

When you register or pay a participation fee for a conference through the Platform, the contractual relationship regarding that event (attendance, cancellation, postponement) is between you and the organizing institution, not Eventex, except for Eventex's own direct services described in Section 3.

Eventex also offers its own direct services (such as paper-publishing assistance fees via "Payment Links") unrelated to any specific institution's conference. These services, including their payment and refund terms, are governed directly by these Terms and by the Refund & Exchange Policy published on the Platform.

You are responsible for the confidentiality of your login credentials and for all activity under your account. You must notify us immediately of any suspected unauthorized use.

The Platform may not be used for any purpose that violates applicable laws of the Kingdom of Saudi Arabia, infringes third-party rights, or involves misleading, abusive, or impersonating content.

All intellectual property rights in the Platform itself (software, design, trademarks) belong to Eventex. Scientific content uploaded by users (abstracts, papers) remains owned by its authors; Eventex and the hosting institution are granted a limited license to display and process it solely for conference purposes.

Payments are processed through payment service providers licensed and supervised by the Saudi Central Bank (SAMA). Eventex does not store card payment data on its own servers — this data is processed directly by the payment service provider.

The Platform is provided "as is". We make reasonable efforts to ensure availability and continuity, without this constituting an absolute guarantee. Eventex is not liable for scientific or organizational decisions made by hosting institutions regarding their conferences.

These Terms may be updated from time to time. Material changes will be published on this page with an updated "last modified" date above; continued use of the Platform after publication constitutes acceptance.

These Terms are governed by the laws of the Kingdom of Saudi Arabia, and its courts have exclusive jurisdiction over any dispute arising from them.
